Riderline is a show-preparation application for audio-visual technicians and event production professionals, operated by Shay McGouran as a sole proprietorship based in Manitoba, Canada. Mailing address: 54 Young St., Suite J, Winnipeg, MB R3C 1Y6, Canada. Contact: support@riderline.app.
This Privacy Policy explains what personal information we collect, why, and how we handle it. Riderline is operated in compliance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation.
The short version: we do not sell personal information, we do not share it with advertisers, and we do not use tracking for advertising. We also do not use your content to train machine learning models. Your data exists to run the service for you — nothing else.
1. What We Collect
- Account information: your email address and password or authentication credential.
- Show and event content: shows, dates, venues, gear lists, crew details, call sheets, notes, and uploaded files and images.
- Payment information: payment status and purchase confirmation from our payment processors. We never receive or store full card numbers.
- Support correspondence: emails and messages you send us.
- Usage and device information: basic usage data, device information, and standard server logs, which may include IP addresses.
Riderline lets you record crew and contact details about other people. You are responsible for having the right to enter that information.
Document Import and Third-Party AI Processing
When you use Riderline's document import feature, the file you upload is transmitted to our servers and then to OpenAI, L.L.C., which processes it to extract show details such as event name, client, venue, dates, gear items, and crew roles and call times.
The content sent may include personal information contained in your document, including names, phone numbers, email addresses, and details of third parties such as clients, venues, and crew members. For PDF and Word documents, we send extracted text; for JPEG and PNG image files, we send the image itself.
OpenAI processes this content on servers located outside Canada, primarily in the United States, and it may be subject to the laws of those jurisdictions. Riderline does not use uploaded documents to train any AI model. Processing is performed by a third-party AI provider under its own terms. Riderline's servers do not retain the original uploaded file after processing. To read a selected file for upload, the mobile app may temporarily copy it to its local device cache; Riderline does not store that temporary copy as show data. Only the show details extracted from the document are stored in your workspace.
You are responsible for ensuring you have the right to upload any document you import. Do not import documents containing confidential or personal information of others unless you are permitted to share that information with a third-party processor. If you would rather not have a document processed this way, do not use the import feature — every field it fills can be entered manually.
SHARVIS Spoken Responses and Third-Party Text-to-Speech
When you enable spoken SHARVIS responses, the text of the assistant's reply is shared with ElevenLabs when audio needs to be generated. ElevenLabs uses that text to synthesize speech. The reply text may include show details you have provided. You can also request this processing by using PLAY while automatic spoken replies are off.
Generated audio may be temporarily cached in your browser's session memory for replay. ElevenLabs is a third-party service with its own privacy terms. Microphone recordings are not sent to ElevenLabs for this feature.
2. What We Don't Do
- We do not sell personal information.
- We do not share personal information with advertisers.
- We do not use tracking for advertising.
- We do not use your content to train machine learning models.
3. How We Use Information
We use your information only to operate, maintain, secure, and improve the service: authenticating you, storing and syncing your show content, processing purchases, providing support, sending necessary service email, and diagnosing problems.
4. Analytics
Analytics. We use Cloudflare Web Analytics to measure page views and visits to riderline.app. It does not use cookies and does not fingerprint individual visitors. Aggregate information such as page path, referring website, browser type, device type and country may be processed by Cloudflare, Inc. on our behalf.
When you submit your email address on our landing page, we also record the referring website and any campaign parameters present in the link you followed, so that we can understand how people find Riderline.
5. Service Providers
We use a small number of third-party service providers to run Riderline, each with access only to the information needed for its function:
- Hosting and database — storing and serving the application and your content.
- Payment processing — handling purchases and subscriptions.
- Email delivery — sending service email such as sign-in and billing messages.
- Authentication — verifying account sign-ins.
Some of these providers operate outside Canada, including in the United States. Personal information stored or processed abroad may be accessible to that country's courts, law enforcement, and national security authorities under its laws.
6. Retention and Deletion
- We keep your information while your account is active.
- When you delete your account, your personal information and content are deleted within 30 days, except transaction and tax records we are required to keep under Canadian law.
- Copies in backups may persist for a limited further period before being overwritten.
7. Security
We protect your information with HTTPS encryption in transit, access controls on production systems, and established infrastructure providers. No system is completely secure, and we cannot guarantee absolute security — but we work to keep protections current and appropriate.
8. Your Rights
You may request:
- Access to the personal information we hold about you;
- Correction of inaccurate information;
- Withdrawal of consent and deletion of your account and data;
- Export of your content;
- Or make a complaint about our handling of your information.

9. Cookies and Browser Storage
We use cookies and browser storage only for essential functions: keeping you signed in, remembering preferences, and maintaining sessions. We do not use advertising cookies or third-party marketing tracking.
10. Email
We send necessary service email: sign-in links, billing notices, security alerts, and policy-change notifications. If we ever send optional marketing email in the future, we will obtain your consent as required under Canada's Anti-Spam Legislation (CASL) and include an unsubscribe link in every such message.
11. Children
Riderline is intended for users 18 years of age and older. We do not knowingly collect personal information from children.
12. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you (for example by email or an in-app notice) before they take effect. The "Last updated" date at the top reflects the current version.
